Responsibilities

Program Secretary - Inpatient Behavioral Health– Eagle Pass, TX

 

Horizon Health is seeking a Program Secretary to work and support the Behavioral Health program at Fort Duncan Hospital in Eagle Pass, TX. This inpatient psychiatric unit has a total of 18 inpatient psychiatric beds (Adults & Seniors). The Program Secretary is responsible for the Behavioral Health Program’s daily administrative duties and providing assistance to the Behavioral Health Program Director. The Program Secretary also has responsibility for performing Human Resources related duties such as applicant tracking and onboarding.

 

 Responsibilities:

  • Answer the phone and prepare correspondence, reoccurring reports and other periodic or special reports as required.  This includes coordination, typing, distribution and filing
  • Schedules meetings and appointments as appropriate, and greets visitors, patients, and their families. Facilitates special events as needed
  • Coordinates with supervisors and corporate HR during the pre/post-employment process as it relates to employee required processes and documentation.  Ensures I-9 and new hire forms are completed/received in a timely manner, and in accordance with regulatory and policy requirements
  • Creates new hire/rehire personnel files, files employee documents, and ensures corporate HR has a copy of all appropriate documents for the employees’ corporate personnel files
  • Maintains schedule for filing court paperwork and hearings.  Works closely with court personnel to maintain good relationships
  • Reviews and evaluates all incoming invoices and expense reports to verify accuracy before forwarding to the appropriate recipient
  • Orders all office supplies and oversees all maintenance on office related equipment
  • Provides data entry support as needed.  This may include, but not be limited to, HBIPS, CQI, census, training documents, and audits
  • Performs other duties as assigned/required by this position.

Qualifications

  • Bilingual with Spanish is required
  • High school diploma or GED required
  • Bachelor's degree preferred
  • 1-3 years of working experience in a similar role
  • Valid driver's license and use of an automobile

  • Enhances professional growth and development through participation in educational programs, in-service meetings and workshops. Keeps up to date on professional literature
  • Maintain effectiveness and certification in required patient management protocols.
  • Completes and maintains all required state/regulatory, Hospital and Horizon competencies and training/education expectations on a timely basis.
  • Is knowledgeable of hospital and departmental policies and procedures, objectives, quality improvement program, safety, environmental and infection control standards
  • Develops basic knowledge of Hospital and Horizon senior staff and organizational structure
