Executive Assistant | Wealth Management and Financial Company

Position Overview We are seeking a highly organized, proactive, and positive Executive Assistant to support the leadership team of a fast-paced wealth management and financial planning firm. This role will primarily support the founder/CEO and work closely with the COO and President to keep priorities, communication, scheduling, and initiatives moving efficiently. The ideal candidate is experienced supporting senior executives, thrives in fast-moving environments, can manage competing priorities, and is comfortable serving as a trusted gatekeeper and organizational partner. Key Responsibilities Executive & Administrative Support - Manage complex calendars, scheduling, and meeting coordination ● Coordinate domestic travel arrangements and itineraries ● Monitor and manage executive inboxes ● Delegate tasks and communications appropriately ● Prioritize emails and action items within CRM workflows ● Ensure deadlines, initiatives, and follow-ups stay on track ● Work closely with leadership to maintain organizational alignment CRM & Workflow Management ● Utilize Salesforce CRM to organize tasks, priorities, and communications ● Create and maintain prioritized action lists ● Track ongoing projects and accountability items ● Support internal workflow coordination across departments Communication & Client Coordination ● Coordinate client-related logistics and follow-ups ● Draft and respond to communications on behalf of executives when appropriate ● Serve as a professional point of contact for clients and internal stakeholders ● Build trusted relationships with clients and team members Social Media & Marketing Support - Post approved content to LinkedIn and company social channels ● Utilize compliant posting systems (e.g., SaySocial) ● Assist with maintaining consistent executive and company visibility online Personal Assistance (Occasional) ● Assist with occasional personal administrative tasks ● Help streamline day-to-day logistics to maximize executive productivity Ideal Candidate Profile ● Previous experience supporting C-level executives or founders ● Exceptional organizational and time management skills ● Strong written and verbal communication abilities ● Highly proactive, resourceful, and detail-oriented ● Comfortable operating in high-pressure and fast-paced environments ● Positive, upbeat personality with strong interpersonal skills ● Able to balance professionalism with personable communication ● Strong discretion and confidentiality standards ● Comfortable adjusting communication style based on urgency and workload Preferred Qualifications ● Experience in financial services, wealth management, or regulated industries preferred but not required ● Familiarity with Salesforce CRM - Experience managing executive travel and schedules ● Experience handling client-facing communications Why Join Assist World? 100% REMOTE $50 birthday bonus $200 testimonial bonus $500 entry monthly raffle NO TRACKER. ## No Problem
